This Policy is based on ITMO University's general Principles for the Use of Artificial Intelligence Technologies in Research, the Preparation of Scientific Papers, and Review Processes. It governs the use of artificial intelligence technologies (hereinafter referred to as AI) by authors, reviewers, editors, and the journal's editorial board at all stages of the publishing process: writing, reviewing, and editorial preparation of manuscripts.
The purpose of this policy is to support the principles of academic openness and the ethics of scientific publication.
The journal's editorial board will closely monitor the development of AI technologies and adjust and refine its policy as necessary.
Policy for authors
The authors can use AI technologies as a tool for conducting scientific research and preparing articles, but they cannot be claimed as a co-author.
If the use of AI technologies is an integral part of scientific research and obtaining the results presented in the article, then the fact of using AI should be indicated in the section devoted to the description of research methods. It is necessary to specify the goals of the AI application, the AI models used, training data sets and/or other information necessary to ensure reproducibility of the results obtained and/or assessment of their reliability.
The fact of the use of AI in the preparation of the text of the article should be indicated in a special section "Declaration on the use of AI" (placed before the list of references). It is necessary to specify the purpose of the AI application and other information that makes it possible to assess the adequacy of the AI application for the preparation of the text of the article.
The results obtained with the help of AI must be verifiable; the authors are required to preserve a trace of usage (prompta/ scripts / parameters) and provide it to the editors upon request.
The use of AI technologies should be controlled by the authors of the article, and the results obtained should be carefully reviewed by the authors. It is important to keep in mind that AI can generate results and text that look convincing, but contain incorrect, incomplete, or false statements.
The use of AI does not release the authors from full responsibility for the reliability of scientific research results and compliance with the principles of scientific ethics. Each of the co-authors of the article is responsible for the legality and correctness of the use of AI technologies, the results obtained, the conclusions and, in general, for the entire article.
Failure to disclose the use of AI in the preparation of an article may be considered a violation of scientific ethics and may be grounds for rejecting the article from publication.
Policy for editors and reviewers
The use of AI should not violate the rights of third parties and, in particular, lead to unauthorized disclosure of scientific information. It must be remembered that information processed by AI can be distributed uncontrollably. This situation should be avoided when preparing reviews for unpublished scientific articles.
The review of articles for originality and the use of AI should be carried out by the editorial board of the journal only with the help of a software product that excludes the possibility of uncontrolled dissemination of scientific information.
The journal allows the use of secure AI technologies to verify the completeness of manuscripts, originality, and search for suitable reviewers while respecting confidentiality standards.
The review process requires critical thinking and independent evaluation, which is currently beyond the capabilities of AI and anti-plagiarism systems. The use of information about the detection or non-detection of signs of AI generation (from the anti-plagiarism system used by the editorial board to verify manuscripts under an agreement with the company providing the service to preserve the confidentiality of the texts of the manuscript) does not release reviewers of scientific articles from full personal responsibility for the prepared review. The responsibility for the content of the review and the conclusion about the legality of the authors' use of AI technologies lies entirely with the reviewer.
The final assessment of the correctness of the use of AI in the preparation of a scientific article is made by the editorial board of the journal. A negative assessment of the correctness of such an application may serve as a reason for rejecting the article from publication. The editorial board is fully responsible for the editorial process, the final decision on the manuscript and its communication to the authors.
